A task that used to take me 30 to 45 minutes every month now takes under 5, and I did not have to touch a spreadsheet to get there.
I recently handed my monthly email reporting for a CRM client to Claude, the AI assistant I use as an operations co-pilot. It pulled the campaign stats, read the export file, checked the structure of the Airtable base, and entered the records. I stayed in one conversation the whole time.
Here’s exactly what the old process looked like, what I did instead, and why it only worked because the system underneath it was already organized.
The Challenge: A Monthly Routine That Left Room for Error
Every month, I produce an email marketing report for a business coaching client. For most of my CRM client, the routine is the same:
- Log into ActiveCampaign (or whatever platform they use) and manually export the campaigns performance report.
- Open the exported CSV and find the right columns.
- Copy and paste each campaign’s data, one field at a time, into an Airtable base.
- Make sure the Month and Year fields are set correctly so the automated report triggers.
- Double-check everything before the Airtable automation sends the client report.
None of it is hard. But it’s repetitive, it pulls me between tabs, and every manual copy-paste is a chance for a typo to land in a client report. It’s exactly the kind of task that should be handled by a system, not by me.
The Solution: Claude as My Operations Co-Pilot
Instead of working through those five steps by hand, I did the whole thing in a single conversation with Claude. Here’s what I did instead:
Step 1: Pull the data from ActiveCampaign
Rather than logging in and exporting, I asked Claude to retrieve the March email stats straight from the client’s ActiveCampaign account. It pulled the sent campaigns, filtered for March, and returned the key metrics.
Step 2: Review the Airtable structure
Claude then connected to the client’s Airtable base and reviewed the Campaigns table, including the field order, the data types, and how Month and Year were set up as select options.
Step 3: Match it against the official CSV
I uploaded the official ActiveCampaign CSV export for March. Claude read the file and confirmed the exact subject lines, send dates, and stats, using the CSV as the source of truth.
Step 4: Enter the data directly into Airtable
Claude created both campaign records in one action, with every field populated: Name, Subject, Send Date, Emails Sent, Unique Opens, Unique Clicks, Bounces, Unsubscribes, Month, and Year. The formula fields for open rate, click rate, and bounce rate calculated on their own.
The whole thing took under 5 minutes, with no copy-paste and no tab-switching.
The Result
The biggest change is that five manual steps became one conversation.
| Before | After |
|---|---|
| Log into ActiveCampaign | Ask Claude to pull the stats, or upload the CSV |
| Export the campaigns report manually | Claude reads and interprets the file instantly |
| Open the CSV and find the right columns | Claude connects to Airtable and checks the structure |
| Copy and paste data field by field | Claude enters all records in one step |
| Set Month and Year by hand | Month and Year are populated correctly |
| 30 to 45 minutes total | Under 5 minutes total |
| Risk of copy-paste errors | Data entered directly from the source file |
Why This Worked: Organize First, Automate Second…
This is the part I want you to take away. Claude didn’t succeed because AI is magic. It succeeded because the Airtable base was already structured correctly and the reporting process was already documented.
The fields were clean. The Month and Year options were consistent. The formulas for open rate, click rate, and bounce rate were already built. Claude had a clear target to aim at, so it could hit it on the first try.
If those pieces had been a mess, no AI tool would have saved me. I’d have spent the time cleaning up instead of getting it back. That’s what I mean when I say Organize First, Automate Second. Enhance with AI.
What You Can Take From This
This wasn’t just about saving time on one report. It’s a repeatable system I can use every month, for every CRM client.
- AI can act as an operations assistant, not just a content tool.
- Connecting AI to the tools you already use, like ActiveCampaign and Airtable, closes the gaps between platforms.
- The approach works for any client on any reporting cycle, as long as the underlying structure is sound.
- Clean systems come first. Automation and AI come after.
So here’s my question for you: what repetitive reporting task in your business could be eliminated this month?
